1. GENERAL PROVISIONS

1.1. A booking reserves a specific period of time exclusively for the Renter. Once a booking has been confirmed, the Studio may have to turn away other customers for that period.

1.2. The conditions for refunds and rescheduling depend on how much time remains before the booking begins.

1.3. If mandatory law grants a consumer rights that cannot be limited by this Policy, those mandatory rights apply.

2. HOW TO NOTIFY THE STUDIO OF A CANCELLATION OR RESCHEDULING REQUEST

2.1. A cancellation or rescheduling request must be submitted:

— through the cancellation or change function in the booking system, if such a function is available; or

— by e-mail to studio@kinosura.fi.

2.2. The notice must make it possible to identify the booking unambiguously. The Studio may request the name, e-mail address, booking date and time, or booking number.

2.3. A message through social media, messaging applications, an oral notice or a phone call is not by itself considered a valid cancellation unless the Studio confirms the cancellation in writing.

2.4. For the purpose of calculating the applicable deadline, the relevant time is when the Studio receives a valid written notice or the time recorded by the booking system.

3. CANCELLATION AT LEAST 72 HOURS BEFORE THE BOOKING

3.1. If a booking is cancelled no later than 72 hours before it begins, the amount paid for the rental will be refunded.

3.2. At the Renter’s request, the booking may be rescheduled to another available time instead of being refunded.

3.3. If the new time or service is more expensive, the Renter pays the difference. If the change is made no later than 72 hours before the booking and the new price is lower, the difference will be refunded.

4. CANCELLATION 24–72 HOURS BEFORE THE BOOKING

4.1. If a booking is cancelled less than 72 hours but at least 24 hours before it begins, the amount paid is non-refundable unless mandatory law requires otherwise.

4.2. Instead of cancelling, the Renter may reschedule the booking once, free of charge, to another available time within 60 calendar days of the original booking date.

4.3. Rescheduling is possible only subject to availability and does not guarantee any specific date or time.

4.4. If the new service or duration is more expensive, the Renter pays the difference.

4.5. If the new price is lower than the amount originally paid, the difference is not refunded because rescheduling is offered instead of a cancellation for which no refund would otherwise be available.

4.6. A booking rescheduled under this section cannot be rescheduled again free of charge.

4.7. The amount transferred to the new date under this section remains non-refundable. A later cancellation of the new date does not create a right to a refund of that amount unless mandatory law requires otherwise.

5. CANCELLATION LESS THAN 24 HOURS BEFORE THE BOOKING

5.1. If a booking is cancelled less than 24 hours before it begins, the amount paid is non-refundable.

5.2. No free rescheduling is available.

5.3. The Studio may, at its discretion, offer rescheduling or another solution, but any such arrangement is voluntary and does not create an obligation to grant the same exception in other cases.

6. NO-SHOW

6.1. If the Renter does not arrive at the booked time and has not cancelled the booking in a valid manner, the booking is treated as a no-show.

6.2. In the event of a no-show, the amount paid is non-refundable and no free rescheduling is available.

6.3. Late arrival is not a cancellation and does not extend the booking period.

7. REDUCTION OF BOOKING DURATION AND PARTIAL CANCELLATION

7.1. Reducing the duration of an already confirmed booking is treated as cancellation of the corresponding part of the booking.

7.2. Any refund or rescheduling of the reduced portion is determined according to the same time limits as a full cancellation.

7.3. If the duration is reduced 24–72 hours before the booking begins, the price of the removed time is non-refundable.

7.4. If the duration is reduced less than 24 hours before the booking begins, the price of the removed time is non-refundable.

8. CHANGE OF DATE, TIME OR SERVICE

8.1. Any change to a confirmed date or time is treated as a rescheduling of the booking.

8.2. Rescheduling no later than 72 hours before the booking begins is possible subject to availability. After such a rescheduling, the ordinary cancellation and rescheduling time limits apply again to the new date.

8.3. Rescheduling 24–72 hours before the booking is permitted only in accordance with Section 4 of this Policy.

8.4. Less than 24 hours before the booking begins, the Studio is not obliged to change the date, time, duration or type of service.

9. ILLNESS, TRANSPORT PROBLEMS AND OTHER CIRCUMSTANCES ON THE RENTER’S SIDE

9.1. Illness of the Renter or a participant in the shoot, delay or cancellation of transport, weather conditions, failure of a model, client, make-up artist, assistant or other participant to attend, changes of plans, or other circumstances on the Renter’s side do not by themselves create an automatic right to a refund or rescheduling outside the rules of this Policy.

9.2. In exceptional circumstances, the Studio may request supporting documents and consider rescheduling or a refund on a case-by-case basis.

9.3. An exception granted in an individual case does not amend this Policy and does not create a right to the same solution in the future.

9.4. If mandatory consumer protection law limits the application of a standard term in a particular situation, mandatory law applies.

10. CIRCUMSTANCES OUTSIDE THE STUDIO’S CONTROL

10.1. If the rental cannot take place because of circumstances outside the Studio’s reasonable control, including a serious building failure, interruption of utilities, fire, official restrictions or a comparable exceptional event, the Studio will, where possible, offer rescheduling to another time.

10.2. If rescheduling is impossible or cannot reasonably be agreed, any refund will be determined with regard to the part of the service not provided and mandatory law.

10.3. To the extent such liability may lawfully be excluded, the Studio is not responsible for the Renter’s costs relating to shoot participants, transport, accommodation, rental of additional equipment, lost assignments or other external expenses.

11. CANCELLATION BY THE STUDIO

11.1. If the Studio cancels a booking for a reason within its control, it will offer rescheduling to another available time.

11.2. If the Renter does not accept the proposed rescheduling, the amount paid for the service not provided will be refunded.

11.3. For customers acting in the course of business or professional activity, the Studio’s liability for cancellation is, to the maximum extent permitted by law, limited to the price of the relevant booking and does not include indirect losses, loss of profit, production costs, participant costs, transport costs or the cost of a repeat shoot.

11.4. Consumers retain any mandatory rights that cannot be limited by agreement.

12. REFUNDS

12.1. A refund will be made using the same payment method used for the original payment unless otherwise agreed or technically impossible.

12.2. The Studio will initiate the refund without undue delay once the right to a refund has been confirmed.

12.3. The actual time required for funds to be credited depends on the bank, payment service provider or other payment system used and is outside the Studio’s control.

13. CONSUMER RIGHT TO WITHDRAW FROM A DISTANCE CONTRACT

13.1. If the Renter is a consumer, the mandatory provisions of Finnish consumer protection law apply.

13.2. The ordinary 14-day right to withdraw from a distance contract does not apply where the specific booking falls within a statutory exception for a leisure service to be provided on a specific date or during a specific period.

13.3. If the specific booking does not fall within such an exception, this Policy does not limit the consumer’s mandatory right of withdrawal.

14. RELATIONSHIP WITH THE STUDIO RENTAL TERMS

14.1. This Policy forms part of the contractual terms of Kinosura Creative Studio and applies together with the Studio Rental Terms.

14.2. Matters not regulated by this Policy are governed by the Studio Rental Terms and mandatory Finnish law.
